There is no better time to host large outdoor events than the summer. You get sunshine, generous weather, and great company. To ensure you throw the perfect outdoor summer event, you need to do some planning. Read on to learn some tips and tricks to remember when organizing your next big summer event.

Find a Venue

Search local venues to find the perfect outdoor space for your event. Survey all your options in person and compare the advantages and disadvantages of each one. You want a centrally located event venue with plenty of space for everyone to spread out and enjoy the day.

Some outdoor venues don’t provide restrooms but don’t let this deter you from choosing the spot you want. Remember that it is vital to rent enough portable bathrooms for the event. You want to make sure that every guest remains comfortable the whole day. Portable restrooms aren’t enough because every event needs hand washing stations for guests to stay clean.

Get Your Permits

Depending on the event, you might need a permit. After choosing a location, note all the requirements you need to fulfill to secure the space. Without the proper permits in place, you risk the possibility of the city shutting down your event.

Contact your local town or city hall zoning office and ask about permits. Most requirements include filling out paperwork, paying fees, and waiting for approval. Once you get all that squared away, the real fun begins.

Give Your Event a Theme

Not all events need a theme, but BBQs are a dime a dozen during the summer. Give your party an extra kick and create a theme for your guests to enjoy. You don’t need to choose anything extravagant, but something like a beach theme gives your guests a chance to dress in their swimsuits for a fun day in the sun. A theme also helps you to orchestrate decorations. You can include different stations and unique cuisine for your guests to enjoy.

Set a Timeline

Before the event starts, you need to coordinate the setup. If the vendors need to arrive at a specific time, make sure they stick to the schedule. Confirm and finalize all times a few days before the event to ensure everyone is on the same page.

Try to complete your setup at least three hours before your event begins. The extra time gives you some wiggle room if problems develop. Organize two separate teams for setup and break-down.
